1.Current Use Properties #

Purpose

Use this procedure to create and maintain codes used for tracking Current Use Compliance Review progress.

Prerequisite

  • In order to perform this procedure, the following user right is required:
    • Codefile Maintenance > Current Use > Current Use Review Settings

Procedure

  1. In PACS.ADMIN, choose Tools > Code File Maintenance > Current Use > Current Use Review Status.
  2. In the Current Use Compliance Review Status Codes dialog box, click Add and enter the ID for the code. Then enter a description.

  3. In the Details section, select one of the following options:
    • Set as Initial Code Indicates that a property needs a review.
    • Set as Closed Code Indicates that a property has been reviewed.
  4. Click Save.

    Note

    – No code can be flagged as both the Initial and Closed Code.

    – More than one code can be designated as a Closed Code.

    – Only one code can be flagged as the Initial Code.

    – When a property is selected for review, its status code is automatically set to the Initial Code.

  5. If required, use the following options:
    • To review an existing code, select the code and click Edit.
    • To remove an existing code, select the code and click Delete. 

      Note You cannot delete a code with the Initial Code flag. You must flag another code as the Initial Code before deleting.

  6. Repeat this procedure as required to set up the Collections Pursuit Status Codes.

2.Manually Selecting a Property for Current Use Compliance Review #

Purpose

Use this procedure to manually select a single property for Current Use Review, or update the Current Use Review status.

Procedure

  1. In PACS 9.0, open the property you wish to select for review and expand the Appraiser Info panel.
  2. In the Current Use Compliance Review section, do the following as required:
    • To manually select a property for review, select the Perform Current Use Compliance Review check box. Then select the appropriate status from the Status field drop-down list.

    Note By default, the system selects the status code with the Initial attribute selected, when available. For more information about Current Use Compliance Review Status Codes, see Setting Up Current Use Compliance Review Status Codes.

    • If the property has already been selected for review, adjust the status in the Status field as needed.
    • Verify the Status Date and Review Date. Change the review date as required.

      Note By default, the current date is displayed and the review date is set 30 days in advance of the current date.

    • To schedule a Current Use Inspection in the distant future, set the date in the Date field under Next Current Use Review. Enter a reason as required.
    • Add or remove current use removal info as needed in the Current Use Removals grid.

      Note Removal data can be edited directly in the grid.

3.Undoing a Current Use Selection Run #

Purpose

Use this procedure to undo a Current Use Review selection run and remove the review status from the property record.

Note If a property’s Current Use Review status has changed since the initial run, or if the review date has been changed, then the property can not be removed from a Current Use Selection Run. Runs generated in a certified year cannot be undone.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Property Selection.
  2. In the Current Use Selection Runs dialog box, select the run you want to undo and click Undo.

4.Removing Properties from a Current Use Selection Run #

Purpose

Use this procedure to remove properties from a current use selection run.

Note If a property’s Current Use Review status has changed since the initial run, or if the review date has been changed, then the property can not be removed from a Current Use Selection Run.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Property Selection.
  2. In the Current Use Selection Runs dialog box, select the run you want to edit and click List.
  3. To remove a property, select the property ID in the grid and click Delete.

  4. Click OK to close the dialog.

5.Printing a Current Use Selection Listing #

Purpose

Use this procedure to print a listing of properties included in a current use selection run.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Property Selection.
  2. In the Current Use Selection Runs dialog box, select the required run ID and click Report.

    Note A property listing can also be generated by clicking List.

  3. In the Output Settings section of the Property Listing Report dialog box, do the following:

    Current Use, Prop Selection Report

    • In the Format drop-down list, select the report output format.
    • In the Filename field, enter the report file name.
    • In the Description field, enter a report description.
  4. Click Preview to preview the report. Click Post to generate the report and create a PACS inbox item from which you can view the report.

6.Generating the Current Use Selection Run Exceptions Report #

Purpose

Use this procedure to generate a listing of properties included in a current use selection run that have had processing errors.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Property Selection.
  2. In the Current Use Selection Runs dialog box, select the required run ID and click Exceptions.
  3. In the Output Settings section of the Exception Report dialog box, do the following:

    Current Use, Prop Selection, Exceptions

    • In the Format drop-down list, select the report output format.
    • In the Filename field, enter the report file name.
    • In the Description field, enter a report description.
  4. Click Preview to preview the report. Click Post to generate the report and create a PACS inbox item from which you can view the report.

7.Printing Letter to Current Use Properties #

Purpose

Use this procedure to generate letters addressed to all current use properties selected in the Current Use selection run.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Property Selection.
  2. In the Current Use Selection Runs dialog box, select the run you want to edit and click List.
  3. Choose Letter or Letter Template as required, and select a letter from the drop-down list.

    Note Currently, if a letter with flex fields is selected, then the fields print as blank.

  4. Select the property in the Property Listing grid that you are sending letter to.

    Tip To select multiple agreements that are not adjacent to each other in the list, press CTRL and click the row for each agreement.

8.Printing Current Use Review Applications #

Purpose

Use this procedure to send current use review applications to properties selected for compliance review.

Procedure

  1. In PACS 9.0, choose Activities > Current Use > Print Current Use Review Applications.
  2. In the Print Current Use Review Applications dialog box, select the year from the Assessment Year drop-down list.

  3. Next, select one of the following property selection methods:
    • Review Properties
    1. Select one or both of the following criteria:
      • Flagged for CU Review

        Includes all properties that have been automatically or manually selected for Current Use Compliance Review.

      • Current Use Status

        Select a status to include all properties with a particular Current Use Status.

    • By Query

      Enter a query with which to retrieve a group of property records to be recalculated.

    • Property IDs

      Enter the required property ID or IDs separated by a comma.

  4. To see the number of properties included in your selection, click Count and review the number displayed in the Properties Found field.
  5. Click Next.
  6. In the next page of the Print Current Use Applications Wizard, select the required property use codes in the Use Code column of the grid. Then, in the Letter Template column, select the letter template from the drop-down list.

  7. Select a current use status code from the Update Status To field. This is the new status displayed on all selected properties after finishing the Wizard.
  8. Click Finish.

Result

  • The status of each property is updated.
  • The letters open in Microsoft Word.

9.Generating a Current Use Status Codes Report #

Purpose

Use this procedure to generate a report listing properties with particular current use statuses.

Procedure

  1. In PACS 9.0, select Reports > Current Use > Current Use Status Codes.
  2. In the Current Use Status Codes dialog box, click the ellipses next to the Current Use Status Code field to open the code chooser and select status codes to include in the report.

  3. Select the Current Use Status Date range, if required.
  4. Select the Sort Order.
  5. In the Output Settings section, do the following:
    • In the Format drop-down list, select the report output format.
    • In the Filename field, enter the report file name.
    • In the Description field, enter a report description.
  6. Click Preview to preview the report. Click Post to generate the report and create a PACS inbox item from which you can view the report.
