1.Set Export Location #

Purpose

User will set up default export location to instruct PACS where to send files. It is important to understand that this MUST be on a NETWORK DRIVE! Do not set default to a personal computer’s C drive.

Procedure

  1. Browse to PACS Application button > Tools> System Configuration
  2. Choose the Category of Imports/Exports
  3. Click the ellipses button under the Export Properties then browse for the location on the network. Click OK to populate the field
  4. Click OK to save the location

2.Appraisal Data Export #

Purpose

The purpose of an Appraisal Data Export is to extract data out of the PACS system to provide to another entity requester. The data will be provided in a text file with an a corresponding data export layout. User should provide the Data Layout map to the requester as well. This is located in the Harris Govern TeamSupport Knowledge Base under PACS Downloads.

Procedure

  • In the PACS Application button, browse to Export>Appraisal Export

Export Appraisal Information

  • As of Roll Correction – Only Active properties for a given year and roll correction are selected

NOTE:  Deleted property is included ONLY when the roll correction involved deleting the property. In addition, most current version of the property is used where the version of the property is <= to the Roll Correction specified is selected.

  • Export Date Range – All non-deleted (Active) properties that had a change of ownership for the current appraisal year and owner information has been updated are selected

NOTE:   This selection is rendered off of the [account].update_dt field. This field is updated when the user modifies the fields for the Taxpayer.

  • Specified Tax Areas – includes properties that are in the specified tax areas

NOTE:  The Tax area option is an additional filter criteria to the above filter options.

Export Deed/Sales Information

  • Include County Sales Ratio – checkbox that allows the user to export the county sales ratio information.
    • When checked, the deed/sales export file shows the calculated ‘sale county ratio’ value
    • When unchecked, the deed/sales export file shows a zero value for the ‘sale county ratio’ value.
  • Export Using Deed Date Range – all deed sales where the deed date >= to the start date specified and the deed date <= end date specified are selected.
  • Export Using Sale Date Range – all deed/sales where the sale date >= to the start date specified and the sale date <= end date specified are selected.

NOTE: ALL deeds classified as Problem Deeds are excluded from the Export

3.Building Permit Export #

Purpose

Use this procedure to export building permits from PACS.

Prerequisites

  • In order to perform this procedure, the following user right is required:
    • Export > Export Building Permits

Procedure

  1. In PACS, choose Export > Building Permit.
  2. In the Building Permit Export dialog box, in the General section, complete the following options as required:
    • Year

      Select the year layer to retrieve property data from.

    • Property Type

      The type of property, such as real, personal, auto, mobile home, or mineral.

      Note:   If no property type is selected, all property types are exported.

  3. In the Property Export section, select Property Export to perform a property export; enter the path to the export in the Export Path field.

    Note:  The export path must be a sharable, fully qualified, UNC path.

  4. In the Situs Address section, select Situs Address Export to perform a situs address export; enter the path to the export in the Export Path field.
  5. In the Linked Owners section, select Linked Owners Export to perform a linked owners export; enter the path to the export in the Export Path field.
  6. In the Permit Export section, complete the following options as required:

    Building Permit Export Dialog Box

    • Permit Export

      Select this option to perform the building permit export.

    • Issued Date

      The date on which the permit was issued.

    • CAD Permit Status

      To filter the exported building permits by CAD status, either manually enter CAD permit status codes, separated by commas, or click Dots to select status codes.

    • Export Path

      Enter the path for the export.

      Note:   The export path must be a sharable, fully qualified, UNC path.

4.DOR ETrim Export #

Purpose

Provide ETRIM Export to DOR

Procedure

DOR Etrim

PACS Menu > Export > E Trim Export

When the user opens the dialog, the application will present the following options:

  • Year
    • Drop down lists all certified years from the pacs_year table in descending order
    • Defaults to the most current available year.
  • DR-420 Trim Export File
    • Selected by default
  • DR-422 Trim Export File
    • Enabled only if the pacs_year.final_certification_dt for the selected year is not null
    • If disabled, the label is modified to read “DR-422 Trim Export File (Final Certify selected year to export)”
    • If enabled, the VAB checkbox and Form Return Date/Time data entry elements also become enabled.
  • “The VAB is still in Session” checkbox.
    • Enabled only if the DR-422 Trim Export File option is selected.
    • If checked, the export file will contain a ‘Y’ in the appropriate flag column for all records exported.
  • Form Return Date/Time
    • Enabled only if the DR-422 Trim Export File option is selected.
    • Required if the DR-422 Trim Export File option is selected.
    • If checked, the export file will contain the date and time entered in the appropriate flag column for all records exported.

When the user clicks the OK button, the application will:

  • Create an Inbox item to monitor completion of the export process
  • Initiate the selected export using the year specified.

When the export is completed, the application will have stored the exported information in a file labeled:

DR-###_ETrimExport_YYYYMMDDHHNNSS.csv

In the example, ### represents “420” or “422” depending on the option chosen, and YYYYMMDDHHNNSS represents the current data and time in military format

DOR ETRIM Record Layout

The export will result in a single file containing 4 different record types.  Each record type can be distinguished by a record type identifier, and represents a specific set of data:

5.Exemption Renewal Export #

Purpose: Create an Exemption Renewal Export to have information of Exemption Renewals for the current year in a text format. This typically is run to give to the Department of Revenue.

Procedure:

  • In the PACS Application button, browse to Export>Exemption Renewal Export

NOTE:   To ensure the correct exemption amounts appear on the export, it is recommended that a mass recalculation is performed prior to running the export.

  • General
    • Export Type
      • Removal of Homestead Exemptions (DR-500AR)
      • Removal of Total or Partial Exemptions (DR-498AR)
      • TPP Exemption Renewals (DR-405WI)
      • Removal of Agricultural or High Water Recharge Classification (DR-499AR)
    • Export File Name – user can keep the name given and/or rename the file
  • Export – click this to start the export process

6.NCOA Export #

Purpose

Create an NCOA Export to give to vendor checking current mailing addresses.

Procedure

  • In the PACS Application button, browse to Export>NCOA Export

  • NCOA Export Details
    • Year – PACS year for the NCOA Export
    • Export Path – the path where export file is located
  • Export – click Export to start the Export Process.

7.Web Export #

Purpose

Create Web Export to provide data to update Appraiser Website.

Procedure

  • In the PACS Application button, browse to Export>Web Export.

  • Web Export General
    • Year – PACS year for the Web Export
  • Appraisal Card Options
    • Include Appraisal Card – Checking box includes Appraisal Cards on Web Export.
    • Output Path – Path must be a valid Network path.
  • Sketch Image Options
    • Include Sketch Images – Checking box includes Sketch Images on Web Export.
    • Output Path – Path must be a valid Network path.
  • Options
    • Exclude Confidential – Confidential information is NOT included on Web Export
    • Suppress Confidential – Confidential information replaced with Tools > System Configuration > Confidential Name Options.
  • Export – click Export to start the Export Process.
